Annual General Meeting
Notice

Please take notice that the Annual General Meeting of the members of the CANADIAN COUNTRY MUSIC ASSOCIATION (CCMA) will be held at the Hyatt Regency Hotel, Georgia A&B Meeting Room, Vancouver, BC on Sunday September 13, 2009 at the hour of 10:00am for the purpose of receiving the annual report of the Association for the fiscal period ending December 31, 2008; for the election of the Directors of the Association in accordance with its by-laws; for the appointment of the auditor(s) of the Association for the ensuing year; and for such further or other business as may be brought before the meeting.

VOTING FOR DIRECTORS

The CCMA has a maximum of eight (8) Elected Directors on its Board, as well as a maximum of seven (7) Appointed Directors. Directors must be CCMA Industry, Corporate, or Lifetime members and over the age of 18. In order to maintain continuity, four (4) Directors are newly elected each year. They must be prepared to serve a two-year term.

Industry, Corporate, or Lifetime members of the Association who attend the meeting in Vancouver, BC must present their CCMA membership card or acceptable I.D. in order to vote. Members at the Fan and Associate level are not entitled to vote or hold office. If you expect to be assigned a proxy by another member(s), please arrive no later than 9:30 a.m. on the day of the meeting to pick up your ballot(s).

The list of Board candidates with photos and bios are now only available for viewing on the website at www.ccma.org/agm/candidates.cfm. From the homepage, please click on the CCMA tab and select "AGM" to view the candidate information.

BY-LAW AMENDMENT

Please note that a CCMA By-law amendment is being proposed for adoption at this year's AGM. Please review this amendment on the website at www.ccma.org. From the homepage, please click on the CCMA tab and select "AGM" to view the proposed By-law amendment.

PROXIES

If it is not your intention to be present at this meeting, please assign your vote to a member of the Association who will be in attendance. Members can advise the Auditor electronically of their proxy assignment. By logging on to www.ccmavoting.org/proxy/ and clicking on the homepage banner "Click Here to Assign AGM Proxy" members can assign their proxy to another member of the Association to vote on their behalf. Please note in 2007 the Board of Directors had enacted a new policy which does not allow any one member or company to hold more than 5% of the membership proxy assignments. In order for all proxies to be properly assigned, up to three (3) member names for your proxy assignment will be requested.

Proxy assignment must be completed online no later then 5:00 p.m. on Friday August 21st, 2009.

Do not fax your proxy as it will then be treated as spoiled. Proxies may NOT be assigned to any employee of the Canadian Country Music Association.

If you have any matters of concern, please submit them in writing to the CCMA office no later than August 21st 2009 so that they may be added to the AGM Agenda.
